1. Introduction
This Privacy Policy explains what information BrainArena collects, how we use it, who we share it with, and the choices you have. It applies to the BrainArena website and app (the "Service").
2. Information we collect
When you use BrainArena, we collect:
- Account information: your email address, username, and password (if you sign up with email), or basic profile details from Google (if you sign in with Google). Passwords are handled by our authentication provider and are not stored in readable form.
- Gameplay data: your XP, level, coins, accuracy, win rate, streaks, achievements, store purchases, and the answers you submit during a quiz.
- Content you provide: the topics you type in, any study material you upload (PDF, DOCX, or images), and messages you send in lobby chat.
- Subscription and payment status: whether you are on the Free, Plus, or Pro plan, and billing dates. Card details are collected and processed directly by Paystack, our payment processor. We do not receive or store your full card number.
- Usage and device data: pages you view, your device and browser type, and your approximate location, collected through an analytics service (see Cookies below). We also receive technical details about errors that occur, such as the page and browser involved, through an error monitoring service, which we configure not to collect your account details, cookies, or what you type. Our hosting provider also keeps standard server logs, such as IP address, for security and performance.
- Your cookie consent choice, recorded by our consent management provider.
- Newsletter sign-ups: if you subscribe to our newsletter, the email address you enter. You do not need an account to subscribe.
3. What other people can see
BrainArena is a social game, so some of your information is visible to others. Your username, avatar and equipped frame, level, XP, coins, game statistics, and achievements can be seen by other players and on leaderboards, and the profile information behind them can be read by anyone using the Service. Messages you send in a lobby are visible to the other players in that room. Do not put personal information in your username or in chat.
Authorized BrainArena administrators can view account details, including your email address, when needed for support, security, or moderation. Administrator actions such as suspending an account are logged.
4. How we use your information
We use the information above to:
- Create and maintain your account and let you sign back in.
- Generate quiz questions from the topics or material you provide.
- Run multiplayer battles, including matching you with other players in a room.
- Track your XP, level, coins, streaks, and achievements, and show leaderboards.
- Process payments and manage your subscription plan.
- Understand how the Service is used so we can improve it.
- Keep the Service secure, enforce usage limits, and prevent abuse.
- Send you account emails, such as sign-up confirmation and password resets, and, only if you subscribe, our newsletter. Every newsletter has an unsubscribe link.
5. AI processing of your content
When you generate a quiz, the topic you typed or the text extracted from your upload is sent to a third party AI provider to write the questions. We do not send your name or email address with your request, and we do not use your content to build an advertising profile of you. We do not control how the AI provider retains or uses data sent to its service. Please do not enter or upload sensitive personal information.
6. Who we share information with
We do not sell your personal information. We share information with service providers who help us run BrainArena:
- Our database, authentication, and file storage provider, which hosts your account data and any files you upload.
- Our hosting and infrastructure provider, which runs the website itself.
- Our AI provider, which receives the text needed to generate your quiz questions.
- Paystack, which processes your subscription payments.
- Our email provider, which delivers account emails and keeps the newsletter subscriber list.
- Cloudflare, which runs a security check on the sign-up, log-in and password reset forms to block automated bots. The check uses technical signals from your browser and device.
- Google, if you choose to sign in with Google.
- Our analytics, error monitoring, and consent management providers, which help us understand usage, fix problems, and record your cookie choices.
We may also disclose information if required by law, or to protect the rights, safety, or property of BrainArena or our users.
7. Where your information is processed
Our providers may store and process information in countries other than Nigeria, including the United States and other regions where they operate. By using the Service you understand that your information may be transferred to and processed in those countries.
8. File uploads and storage
Files you upload are stored in private storage that only your account can access; they are not public and are not shared with other players. We keep them until you delete your account or ask us to delete them. The text extracted from a file is sent to AI providers as described above. Please do not upload highly sensitive documents.
10. How long we keep information
We keep your account information, gameplay data, content, and uploaded files for as long as your account exists. When you delete your account, we delete these. Copies may remain in backups for a limited time. We may keep limited records where the law requires it, such as payment records held by Paystack, and a log of administrator actions with the link to your account removed.
Newsletter subscriptions are separate from your account. We keep your email on the newsletter list until you unsubscribe, which you can do from any newsletter. Deleting your account does not unsubscribe you, so use the unsubscribe link or contact us.
11. Your choices and rights
You can delete your account at any time from Settings. This permanently removes your profile, progress, games you hosted, messages, and uploaded files, and cancels any paid subscription immediately. Games you hosted are removed for everyone who played in them; games you only took part in remain for the other players.
Under applicable data protection law, including the Nigeria Data Protection Act 2023, you may have the right to access your information, have it corrected, object to or restrict how we use it, receive a copy of it, and withdraw any consent you have given. To exercise these rights, or to correct details such as your username or email address, contact us at the address below. You also have the right to complain to the Nigeria Data Protection Commission.
12. Security
We use measures such as encrypted connections, access controls on our database, and usage limits to protect your information. No system is completely secure, so we cannot guarantee absolute security. Please use a strong, unique password.
13. Children's privacy
BrainArena is not directed at children under 13, and we do not knowingly collect personal information from children under that age. If you believe a child has created an account without appropriate consent, please contact us so we can review it.
14. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the date at the top of this page.
